Sending Newsletters
Now that you have finished adding the extras to your newsletter, click Preview.
Take a look at your newsletter preview. If you do not like a particular extra on the newsletter, click the Back Button on your browser so that you can make the change.
Once you are satisfied with the newsletter preview, scroll down until you see the following:
Step 1: Choosing a Mailing List
Under the "Step 1" section, select one of the following options:
- Everyone On All Databases: When this option is selected, you are choosing to send an email to all your mailing lists in your whole system; this combines all of your databases.
- To this Database: When this option is selected, you are choosing to send to only selective mailing lists. After checking the "To this Database" option, you will then need to select one or more of the databases.
In order to select more than one database hold down the CTRL-key when left clicking. You will know that you have one or more database(s) (mailing lists) selected when they are highlighted blue. - Send to every respondent of a survey: When this option is selected, you are choosing to send to all the contacts who responded to a certain survey.
You may want to use this option after sending out a survey to your contact list to thank everyone for taking the time to fill out a survey. Some clients will send a newsletter to this group with a Web Special attached to it as a reward for filling out the survey. - Send to a certain survey response: When this option is selected, you are choosing to send to all the contacts that answered a multiple choice question a certain way.
For example, if a survey question asked: "What is your favorite golf ball - Titleist, Nike, or Ping?" then you could send a newsletter to all the people that chose Nike.
When selecting the Survey Response send option, you need to select the name of the survey and then click Send at the bottom. After clicking send, you will be prompted to choose an answer response. Once a response is select, you need to click Send again and the newsletter will be sent to that particular answer. - Everyone who clicked on a coupon: When this option is selected, you are choosing to send to anyone who has ever downloaded a coupon off of your Website.
If your Website has a Cybergolf coupon link, then everyone who wishes to download or view a coupon needs to log in to receive a coupon. All this login information is stored in a database called Coupon Clicks within your eMarketing system. - Everyone that hosted a tournament at this course: When this option is selected, you are choosing to send to anyone who has ever hosted a tournament at your course.
- Everyone that played a tournament at this course: When this option is selected, you are choosing to send to anyone who has ever played a tournament at your course.
- Players in a specific tournament at this course: When this option is selected, you are choosing to send to __add explanation__
- Everyone that registered in a specific shop: When this option is selected, you are choosing to send to anyone who has ever purchased a product from one of your specific online shops. This is usually a good mailing list to send to before a holiday weekend, such as Fathers Day. If you do not subscribe to Cybergolf's eCommerce systems, then you will not have this option available.
OR
Pro Shop Online Registration - Everyone who registered in a specific tournament/bought a specific item: When this option is selected, you are choosing to send a newsletter to anyone who has ever purchased anything from one of your eCommerce shops whether registering for a tournament or purchasing a product.
If you do not subscribe to Cybergolf's eCommerce systems, then you will not have this option available. - Everyone who used any online shop: When this option is selected, you are choosing send to all people who ever purchased a product from all your online shops.
If you do not subscribe to Cybergolf's eCommerce systems, then you will not have this option available. - Everyone who requested a tournament proposal: When this option is selected, you are choosing to send to anyone who has ever requested a tournament proposal.
If you do not subscribe to Cybergolf's eCommerce systems, then you will not have this option available.
Step 2: Excluding Email List
Under the "Step 2" section, if you wish to exclude an email list from this mailing list then follow the instruction below. Otherwise, skip to Step 3.
- Check the box Exclude email addresses which appear in these lists.
- Then select the email list you wish to exclude from the dropdown menu.
Step 3: Choosing a Location
In this step, you can now further break the mailing list down by area or location. You have the option to send a newsletter to one of your mailing lists based on a specific zip code range or by State.
For example, if you choose the option "Everyone On All Databases: " in Step 1 and then choose Washington state in Step 2. Now your newsletter will go out to everyone on your list that lives in Washington State.
Under the "Step 3" section, select one of the following options:
- To a Specific State/Region: When choosing this option, you will be able to choose a State or Region in the dropdown menu. You will want to make sure that you check (dot) the option, before choosing the state or region in the drop down menu.
- ZIP Range: When this option is chosen, you will be able to type in a zip code range.
For example, to send a newsletter to everyone in your database in the Seattle Metro area, you could type in 98100 - 98200. If you want to reach a specific zip code just type in the same zip code in both fields. - No Further Restrictions: If you do not wish to sort your mailing list by location, then you will want to keep this option selected. The "No Further Restrictions" option is set up as the default setting, which will ignore any location settings, when selected.
Step 4: Choosing a Time to Send
Cybergolf allows you to send out a newsletter two different ways.
Under the "Step 4" section, select one of the following options:
- Send Immediately: When this option is chosen, you are requesting the Cybergolf Broadcast server to queue your newsletter immediately. This does not guarantee that the newsletter will go out right away. This option places the newsletter in the send queue for the day and will begin sending out the newsletters within a two hour interval.
- Schedule to Send Later: When this option is chosen, you are requesting to have your newsletter sent out at a specific date and time.
This option allows golf courses to create newsletter campaigns during a slow business day and then schedule them to go out later that month or year without having to worry about it during busy business days.
Once a send option is selected, click the Send button and your newsletter will be queued for sending.
